“New year, new me.” Not this time! Same goal this year. Becoming the best property management company in Rhode Island (on paper, big goal. On a map, small state haha). Hence why I’ve been eager to write this month's letter more than any other. 

After hours of research and around 10 demos I’ve finally found a software that I feel most clients will appreciate. Buildium. 

Since I started Coastal Caretaking, I’ve been cycling through long email chains searching for notes, answers and documents. I came to the realization that there must be a better solution for not only communication, but for file storage and task updates as well. My goal is to keep you informed about my workflow while also limiting communication and annoyances. Saving you as much time as possible. I plan that working through Buildium is going to achieve that. 

I’ll be sending out a formal document explaining the introduction but for now, here's a list of what you can expect from the new addition…

• A client/property portal allowing you access to to-do lists/tasks, estimates, service records and misc files

• Photos of existing condition and concerns

• Visit records and notes 

• A messaging feature. Email, call and text still work great for me, but if you prefer to keep all communication in a central hub, we can chat through Buildium

• Annual reports for property expenses. Though all clients might not find this useful, for properties owned under corporations or owners that use expenses for tax deductions, this may be appreciated. You’ll be able to access reports which show the money you’ve spent through Coastal Caretaking and work we’ve contracted for you.

As I integrate property information to Buildium I’m sure there will be some hiccups to iron out.. But once all becomes familiar, I truly feel the central hub will be helpful for all clients. Wondering what I’ve been up to? Open the app and take a look. No emails needed. Check it once a week or once a month, the info will be there.
